Door-Tran is looking to add someone to their staff who is passionate about helping others and who will play a key role in the success of our clients and agency. The ideal candidate requires someone who is outgoing, ambitious, and who is eager and willing to learn new things. Come grow with our non-profit in an office setting.

Overall Responsibility:

The Office Assistant will work closely with Door-Tran staff to provide administrative support. Must be able to assist with multiple projects or responsibilities at once to ensure Door-Tran fulfills its charitable mission. On-site training and mentoring will be provided.

Job Duties:

Assist Door-Tran staff with day-to-day operations, including but not limited to:

  • Ability and willingness to learn and perform new responsibilities
  • Answer telephones or visitors in a friendly and cheerful manner and provide information, take messages, or transfer calls to appropriate individuals.
  • Assist in fundraising events
  • Bank deposits
  • Basic IT and website maintenance
  • Annual mailings
  • Annual and periodic meeting planning
  • Assembling and distributing board of directors meeting information
  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or monthly reports.
  • Conduct searches to find needed information, using such sources as the Internet.
  • Create, maintain, and enter information into databases.
  • Learn to operate new office technologies as they are developed and implemented.
  • Mail newsletters, promotional material, or other information.
  • Maintaining office inventory
  • Make copies of correspondence or other printed material.
  • Marketing, to include monthly newsletter and social media oversight
  • Open, read, route, and distribute incoming mail or other materials and answer routine letters.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Prepare and mail checks.
  • Prepare conference or event materials, such as flyers or invitations.
  • Provide office coverage and answer phones, as needed
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Use computers for various applications, such as database management or word processing.
  • Other duties as assigned by the Executive Director

Skills recommended:

Microsoft Office 365, QuickBooks, excellent written and verbal communication skills, typing and math skills, customer service skills, personal accountability and self-motivated, ability to remain calm under pressure, works independently or as a team player, attentive to details, skilled in prioritizing tasks. The right candidate may be asked to obtain Wisconsin Mobility Management Certification, which will be completed on company time, (more information here: https://wi-mm.org/Certifications).

 

Occasional nights or weekends may be required for special events or fundraising efforts.
